The smart $109 model: how we streamlined property management

Traditional property management is full of expensive overhead, and landlords end up paying for services they don't actually need. We rebuilt the system to put maximum cash flow back into your pocket. Here is exactly how our streamlined, flat-fee model works to your advantage.

Optimized listings & flexible showings (flat $499 placement)

Traditional managers typically charge 50% to 80% of a full month’s rent for tenant placement, and a full 100% if it is a placement-only service, just to write an ad and open a door. We eliminate those massive commissions. For a flat one-time fee of $499, we craft highly optimized, professional listing content for your property — you simply copy and paste it into Zillow or your preferred rental platform. You, or any designated local representative, handle the physical showings. Once a prospect is ready, hand them your custom Palace QR code. Our digital system takes over the rigorous background, credit and eviction screening. We compile the results and send them directly to you. We never move forward without your explicit green light.

Once you approve the applicant, we draft the airtight lease via our secure portal. We prepare all necessary legal addendums to shield your liability, including Lead-Based Paint, Mold, Bed Bug, Crime-Free, Smoke-Free, HOA Rules, Pet & Assistance Animal, Guarantor, Roommate, Septic Tank, Cooling Device, Satellite Dish, Deposit Schedules and Military clauses.

Zero management fees during vacancies & setup

Many companies claim they don’t charge when a unit is empty, but will still hit you with hidden “onboarding fees” or start charging the moment they begin working on your account. Not us. Even if we spend weeks setting up your portal, coordinating details and processing applications, our $109 flat fee does not start until a rent-paying tenant is actively in the property. You only pay when your property generates income.

Elite administrative compliance

Direct rent payments & zero reserve funds

Traditional managers force you to lock up $300 to $500 in a “maintenance reserve” account, giving them free rein to spend your cash. We require zero reserve funds and we never hold your money. Your tenant’s rent payments bypass our company entirely and are processed directly into your personal bank account. Your money is never pooled with other owners or delayed by internal accounting. When an approved repair is completed, we handle 100% of the vendor coordination and invoice reviews, but you retain ultimate financial control — releasing payment directly to the vendor only when you are completely satisfied with the result.

Zero maintenance markups & no in-house contractors

Many managers secretly add a 10% to 20% “coordination fee” on top of vendor invoices, or push you to use their own expensive in-house contractors. We consider that a massive conflict of interest. We do not have in-house maintenance crews. Instead, we find the best, most highly-rated local professionals in your area who offer the fastest service at the fairest price. At Palace, you pay exactly what the vendor charges — nothing added. More importantly, we never authorize a repair — not even a $50 fix — without your explicit, prior consent. For larger jobs, we source up to three competitive quotes to ensure you get the absolute best deal.

Strict data privacy

Your information is strictly used to manage your property and protect your asset. We do not sell data, share it with third-party lists, or use automated spam campaigns. When you contact us, a real human professional responds directly.

Questions this raises

So do you screen tenants, or not?

We do. Applications, background, credit and eviction history, and pet and assistance animal screening on every applicant — that is all ours. It is priced as its own package at $499 rather than folded into the monthly fee, because it only happens when a unit turns over and an owner with a settled tenant should not be paying a share of it every month. The line is drawn at the physical part: we do not advertise your unit and we do not attend the showing. You get someone to the door; everything from the application form onward is our job.

Why not run the listing and the showings too?

Because marketing a vacancy is an intense, local, short burst of work and management is a long, procedural, deadline-driven discipline. Doing both adequately is worse than doing one properly. Keeping the physical leasing work out is a large part of why management can be $109 a month and placement can be $499 flat, rather than a percentage of rent plus a full month’s rent every time a tenant changes.

My unit is empty. What do I do?

Advertise it yourself or through an agent of your choosing, and come to us as soon as you have interest — ideally before, so the lease is drafted the way we would want to manage it. We take the application from the first enquiry, screen everyone who applies, draft the lease and its addendums, and run the tenancy from there. That is the $499 placement package, quoted before any work starts. We deliberately have no referral arrangement with any leasing agent, so nobody is paying us to send you their way.

What if I need something you do not offer?

Ask. Some of it we can coordinate for you at cost, and some of it needs a specialist we are not — an attorney, a licensed inspector, a leasing agent. What we will not do is quietly take it on and do it badly.
